Before you book a trek or tour with Mountain Hike Nepal, please read these Nepal trekking terms and conditions carefully. By confirming your booking, you accept all policies stated on this page. Furthermore, if you book on behalf of a group, you confirm that every participant has read and agreed to these terms.

Mountain Hike Nepal is a government-registered trekking company based in Kathmandu. We operate treks across the Everest, Annapurna, and Langtang regions, as well as tours to Tibet and Bhutan. Therefore, our terms and conditions reflect the operational realities of adventure travel in Nepal, including permit systems, weather dependency, and high-altitude risk.

These terms protect both you and our team. Please take a few minutes to read them in full.

By booking any trek, tour, or travel service with Mountain Hike Nepal, you fully accept these Terms and Conditions. If you book on behalf of a group, you confirm that all participants have read and agreed to these terms.

1. Booking and Confirmation

Mountain Hike Nepal confirms your booking only after receiving the required deposit in full. Until we receive the deposit, your booking remains provisional. As a result, we reserve the right to release your dates to other clients without advance notice.

Remaining balance: You must pay the full outstanding balance in Kathmandu before your trip departs. We confirm any alternative arrangement only in writing.


2. Deposit Policy – Service Reservation Fee Under Nepal Trekking Terms and Conditions

2.1 Why the Deposit Is Non-Refundable

The deposit you pay to Mountain Hike Nepal is a non-refundable Service Reservation Fee. As soon as we receive your deposit, we commit those funds to secure your trip. Specifically, we use the deposit to cover:

  • Government trekking permits and TIMS cards
  • Guide and porter contracts, including advance wages
  • Domestic flight and transport reservations
  • Accommodation bookings along the trekking route

Consequently, these costs are incurred immediately. Moreover, they are non-recoverable regardless of when a cancellation occurs.

2.2 No Exceptions to Non-Refundability

The deposit is non-refundable under all circumstances, including but not limited to:

  • Client-initiated cancellation at any point before departure
  • Change of travel plans or personal reasons
  • Medical conditions, illness, or injury
  • Visa denial, delay, or passport problems
  • Flight cancellations, delays, or missed connections
  • Force majeure events such as natural disasters or pandemics (see Section 13)
  • No-show or failure to arrive on the confirmed departure date

Therefore, by paying the deposit, you explicitly acknowledge that it constitutes full compensation to Mountain Hike Nepal for costs already committed at the time of booking.


3. Deposit Credit Policy

3.1 Credit Option Available

Although the deposit is non-refundable in cash, Mountain Hike Nepal offers a credit option where applicable. The following conditions apply:

3.2 Costs We Deduct Before Calculating Credit

Certain costs are deducted from the deposit before we calculate any credit, because these are third-party payments we cannot recover. These include:

  • Government permits and official entry fees
  • Domestic flight or transport cancellation charges
  • Any third-party expenses already paid on your behalf

3.3 Additional Credit Conditions

  • Credit does not apply to cancellations made 15 days or fewer before departure
  • Credit is not redeemable for cash under any circumstances
  • New bookings using credit are subject to current pricing — not the original booking rate
  • You must pay any price difference between your original trip and the new booking

4. Cancellation Policy and Fees Under Our Nepal Trekking Terms

4.1 How to Submit a Cancellation

You must submit all cancellation requests in writing by email to [email protected]. We do not accept cancellations by phone, WhatsApp, or any other informal method. Additionally, a cancellation takes effect only when Mountain Hike Nepal confirms it in writing.

4.2 Cancellation Fee Schedule

Note: “Total trip cost” refers to the full agreed amount at the time of booking. We always retain the deposit in addition to the percentage shown above, unless the deposit already covers the retained amount.


5. Changes Requested by the Client

5.1 How to Request a Change

You must submit all requests to change departure dates, destinations, or trip types in writing as early as possible. Mountain Hike Nepal will make reasonable efforts to accommodate your request. However, changes depend on:

  • Availability of guides, permits, accommodation, and transport
  • Additional costs arising from the change, which you must pay
  • Applicable third-party change or cancellation fees

5.2 No Guarantee of Accommodation

Mountain Hike Nepal cannot guarantee that all change requests are possible, particularly during peak trekking seasons. If we cannot accommodate your request, the original booking terms and cancellation policy apply.


6. Early Departure and Trip Abandonment

If you voluntarily leave your trip before its scheduled completion — for any reason, including illness, injury, personal choice, or family emergency — the following applies:

  • Mountain Hike Nepal provides no refund for unused services, accommodation, meals, or any remaining portion of the trip
  • You are fully responsible for all costs to return to Kathmandu, including transport, additional accommodation, and emergency rescue
  • Our team will assist where possible. However, we bear no financial responsibility for early departure

7. Itinerary Changes by Mountain Hike Nepal

7.1 Our Right to Modify the Trek Itinerary

Mountain Hike Nepal reserves the right to modify any itinerary before or during a trip. We may do so due to:

  • Adverse or dangerous weather conditions
  • Domestic flight delays or cancellations (such as Lukla flights)
  • Road or trail closures
  • Natural disasters or government restrictions
  • Health emergencies affecting clients or staff

Above all, we make all modifications with client safety as our primary concern.

7.2 No Compensation for Itinerary Changes

Mountain Hike Nepal provides no refund, discount, or compensation for itinerary changes, regardless of their scope or duration. Furthermore, any additional costs from changes — such as extra accommodation nights, meals, or alternative transport — are entirely your responsibility.


8. Payment Methods and Schedule

8.1 Accepted Payment Methods

Mountain Hike Nepal accepts the following payment options:

  • Cash: USD, EUR, GBP, AUD, or NPR
  • Bank transfer: We provide details upon booking confirmation
  • Other methods: As agreed in writing at the time of booking

8.2 Bank Transfer Fees

All international bank transfer fees, intermediary bank charges, and currency conversion costs are your responsibility. The full agreed amount must arrive in our account net of all fees.

8.3 Payment Deadline

You must complete the full remaining balance before departure. If the balance is not received on time, Mountain Hike Nepal reserves the right to cancel the booking without refunding the deposit.


9. Travel Insurance – Mandatory for All Nepal Trekking Clients

9.1 You Must Have Insurance

Travel insurance is mandatory for every client who treks or tours with Mountain Hike Nepal. Your policy must cover, at a minimum:

  • Emergency medical treatment and hospitalization
  • High-altitude trekking to a minimum of 6,000m for Everest region treks
  • Helicopter rescue and emergency evacuation
  • Trip cancellation and interruption

We strongly recommend consulting a specialist travel insurance provider familiar with high-altitude adventure travel. For reference, you can review guidance from organizations such as the Himalayan Rescue Association when planning your coverage.

9.2 Mountain Hike Nepal Is Not Responsible for Insurance

Mountain Hike Nepal does not procure, advise on, or manage travel insurance. We are not responsible for gaps in your coverage, claim outcomes, or disputes with your insurer. Clients who travel without valid insurance do so entirely at their own risk. Moreover, we reserve the right to require proof of insurance before departure.


10. Health and Fitness Requirements

10.1 Your Responsibility to Be Fit

You must be in adequate physical and mental condition for your chosen trek or tour. Trekking in Nepal — especially at altitude — is physically demanding. Consequently, it is your responsibility to prepare and train appropriately before departure.

10.2 Medical Conditions Must Be Disclosed

You must disclose all pre-existing medical conditions to Mountain Hike Nepal in writing before we confirm your booking. This includes, but is not limited to:

  • Heart or cardiovascular conditions
  • Respiratory issues such as asthma
  • Diabetes or metabolic disorders
  • Mental health conditions
  • Prior episodes of altitude sickness

Failure to disclose relevant conditions may result in removal from the trip without refund.

10.3 Our Right to Remove a Client

Mountain Hike Nepal reserves the right to exclude any client from a trip if our guide or staff judge that:

  • The client’s health or safety is at risk
  • The client’s condition puts other group members at risk
  • The client is unable to continue safely

In such cases, we do not provide a refund.


11. Guide and Staff Authority on Nepal Treks

11.1 You Must Follow Guide Instructions

All Mountain Hike Nepal guides and staff are responsible for the safety and wellbeing of every client on trek. Therefore, you must follow all instructions from guides and senior staff at all times.

11.2 Removal for Unsafe Behaviour

Mountain Hike Nepal removes any client from a trip — without refund — in cases of:

  • Reckless or dangerous behaviour on the trail
  • Being under the influence of alcohol or drugs while trekking
  • Refusing to follow safety instructions from guides
  • Conduct that endangers other clients or staff
  • Harassment, abuse, or discriminatory behaviour toward any team member or fellow client

12. Risk, Liability, and Disclaimer for Nepal Trekking

12.1 Inherent Risks of High-Altitude Trekking

Trekking and adventure travel in Nepal carry significant inherent risks. These include, but are not limited to:

  • Acute Mountain Sickness (AMS), High-Altitude Pulmonary Edema (HAPE), and High-Altitude Cerebral Edema (HACE)
  • Physical injury from falls, rough terrain, or equipment issues
  • Illness from food, water, or environmental exposure
  • Extreme and rapidly changing weather conditions
  • Delays or disruptions caused by natural events
  • Death

Therefore, you must understand and accept these risks before booking.

12.2 Limitation of Liability

Mountain Hike Nepal — including our directors, employees, guides, porters, and partner organizations — is not liable for:

  • Personal injury, illness, disability, or death arising from your trip
  • Loss, theft, or damage to personal belongings or equipment
  • Delays or cancellations caused by airlines, weather, or third-party providers
  • Actions or negligence of hotels, transport operators, or any other third-party service providers
  • Consequences of failing to disclose medical conditions or follow safety instructions

12.3 You Accept All Risks

By booking with Mountain Hike Nepal, you confirm that you voluntarily accept all risks associated with your chosen trip. Moreover, you participate entirely at your own risk.


13. Force Majeure

Mountain Hike Nepal is not liable for failure to deliver services due to events beyond our reasonable control. These include, but are not limited to:

  • Earthquakes, landslides, avalanches, or other natural disasters
  • Severe or unusual weather events
  • Government orders, border closures, or permit restrictions
  • Political unrest, civil disturbance, or security incidents
  • Pandemics, epidemics, or public health emergencies declared by national or international authorities
  • Airline groundings or widespread flight cancellations
  • War or international conflict

In force majeure situations:

  • The deposit remains non-refundable, as we have already committed it to pre-booked services
  • Mountain Hike Nepal will make reasonable efforts to offer rescheduling or credit where possible
  • However, we do not guarantee any compensation, alternative arrangements, or refunds

14. Domestic Flights and Transport in Nepal

14.1 Weather-Dependent Flights

Domestic flights in Nepal — including those to Lukla (Tenzing-Hillary Airport) for Everest treks and Jomsom for Annapurna — operate entirely subject to weather conditions. As a result, delays and cancellations are common. Mountain Hike Nepal has no control over airline schedules or flight decisions.

14.2 Additional Costs from Delays

If domestic flight delays or cancellations result in extra accommodation nights, meals, or alternative transport, these costs are not included in your trip price. Furthermore, all additional costs are your sole responsibility. Our team will assist with arrangements, but we cannot cover these expenses.


15. Accommodation and Meals on Trek

15.1 Teahouse Accommodation Standards

Accommodation on trekking routes in Nepal follows teahouse and lodge standards, based on local availability. Standards vary significantly by location, altitude, and season. Mountain Hike Nepal does not own or directly control teahouse accommodation.

During peak trekking seasons (March–May and October–November):

  • Some teahouses reach full capacity
  • Shared rooms or dormitory-style accommodation may be necessary
  • We make every effort to secure private rooms, but we cannot always guarantee this

15.2 Meals and Dietary Requirements on Remote Treks

Teahouses on trek provide meals from a standard Nepali and basic international menu. In remote trekking areas, food variety is limited. Therefore, Mountain Hike Nepal cannot guarantee specific dietary requirements in all locations. Consequently, clients with severe allergies or strict dietary needs should inform us before departure and carry appropriate supplementary food or medication.


You are solely responsible for ensuring:

  • Your passport remains valid for the full duration of your trip, plus at least 6 months beyond
  • You hold the correct visa for Nepal and any additional countries in your itinerary
  • You obtain all required trekking permits and entry documents
  • You comply with all laws, regulations, and customs of Nepal and the regions you visit

Mountain Hike Nepal assists with permit arrangements where included in your package. However, we bear no responsibility for visa refusals, entry denials, or documentation issues. For official Nepal visa information, you can visit the Department of Immigration Nepal.


17. Photography and Media Use

Mountain Hike Nepal may use photographs, video footage, and other media captured during trips for marketing, promotional, and educational purposes. This includes use on our website, social media channels, and printed materials.

If you do not consent to the use of your image or footage, you must notify Mountain Hike Nepal in writing before your trip departs. We do not accept notification after the trip has started.


18. Special Conditions for Tibet and Bhutan Tours

18.1 Stricter Nepal Trekking Terms Apply to Tibet and Bhutan

Tours to Tibet and Bhutan operate under strict government regulations, mandatory group permits, and advance payment requirements to authorized local operators. As a result, these trips follow different policies from standard Nepal-based trekking.

18.2 Payment Terms for Tibet and Bhutan

We confirm payment terms — whether partial advance or full payment — in writing via email before we finalize your booking. Once we receive any payment for these trips, it becomes strictly non-refundable.

18.3 Non-Refundable Policy for Tibet and Bhutan

For Tibet and Bhutan tours specifically:

  • 100% of the trip cost is non-refundable once any payment is made
  • We transfer all funds immediately to local operators, government permit agencies, and transport providers
  • No refund applies for any cancellation, including personal reasons, visa rejection, flight disruption, medical emergency, or force majeure

18.4 Cancellations and Changes for Tibet and Bhutan Tours

In the event of cancellation:

  • Mountain Hike Nepal will make reasonable efforts to help with rescheduling where local operators allow
  • However, any adjustments, credits, or date changes depend entirely on third-party operators and government regulations
  • We cannot guarantee any refund, credit, or itinerary change

18.5 Your Acknowledgment for Tibet and Bhutan Bookings

By booking a Tibet or Bhutan tour, you confirm that you have read, understood, and accepted these stricter non-refundable conditions. You also acknowledge that these trips operate under different policies from our standard Nepal treks.


19. Group Joining and Local Partner Operations

19.1 Group Departure Arrangements

Some Mountain Hike Nepal trips operate as group joining departures or in coordination with trusted local partner companies. We organize these arrangements to ensure better logistics, availability, and service quality.

In such cases:

  • You may join a group that a local partner jointly manages or fully operates
  • Certain services — such as guiding, permits, transport, and accommodation — may be handled by affiliated operators
  • You may see different company names on permits, tickets, or documentation

19.2 Mountain Hike Nepal Remains Your Point of Contact

This is a standard and legitimate practice in the Nepal travel industry. Regardless of operational arrangements on the ground, Mountain Hike Nepal remains your primary point of contact for all bookings, communications, and concerns.


20. Booking Channels and Applicability

These terms and conditions apply to all bookings made with Mountain Hike Nepal through any channel, including:

  • Our official website: mountain-hike.com
  • Direct email communication
  • WhatsApp or phone inquiry followed by a formal booking confirmation
  • Social media platforms
  • In-person booking at our Kathmandu office

There are no exceptions. All bookings — regardless of how you initiated them — are subject to these terms in full.


21. Governing Law and Jurisdiction

These Nepal trekking terms and conditions are governed exclusively by the laws of Nepal. Furthermore, any disputes arising from bookings, services, or these terms fall under the exclusive jurisdiction of the courts of Kathmandu, Nepal. By booking with Mountain Hike Nepal, you agree to Nepali jurisdiction for any legal matters relating to your trip.


22. Acceptance of These Nepal Trekking Terms and Conditions

22.1 Acceptance Upon Payment

Paying any amount to Mountain Hike Nepal — including the deposit — constitutes full and unconditional acceptance of these terms and conditions. By making payment, you confirm that:

  • You have read and understood all terms prior to payment
  • The deposit activates all applicable policies from the moment we receive it
  • No separate signature is required for these terms to be legally binding

22.2 Group Bookings

If you book on behalf of a group, you confirm that all participants have read and agreed to these terms and conditions. Additionally, you accept personal responsibility for ensuring that your group complies with all policies.
